Who we are
DecisionGYM is operated by Pallas Arc Ltd, a private limited company registered in England and Wales (company number 17364330), registered office 17 Kohima Close, Aldershot, GU11 1RD, United Kingdom. Pallas Arc Ltd is the controller of the personal data described in this notice.
For any question about your data, or for a request that the buttons in the app do not cover (for example a formal request for a copy of all the data we hold about you), write to hello@decisiongym.app. We answer within one month.
DecisionGYM is currently in a free test phase. This notice describes how your data is used during the test.
What we collect and why
When you create your account: your email address, your full name and your confirmation that you are 18 or over. We use them to run your account, to sign you in and to send you the emails your account needs (telling you a report or Snapshot is ready if you left the screen, confirming your address, resetting your password, changing your address, confirming that your account or your birth details are deleted). These emails are part of the service, so they need no separate consent. We send news, new features and offers only if you agree to them separately; you can stop them at any time.
Your language: the language of your account, so the app, your Self-Assessment Report and your Decision Snapshots are written in it.
Your assessment: your answers to the self-assessment, including what you write in your own words (the explanation fields and the open question). These answers can touch on sensitive matters, such as your health, your relationships or your beliefs. We use them, with your explicit consent given at the start of the assessment, to build your profile and write your Self-Assessment Report.
Your birth details, if you choose to give them: your date, time and place of birth. They are optional. If you do not know your time of birth, you leave it empty: we never fill it in with a default time. See "Your birth details" below.
Your decisions: the statement of the decision you are facing and your answers in each decision session. We use them to write your Decision Snapshot. Your statement may contain information about other people, such as a partner or a colleague. You don't need to name anyone, and we ask you to share only what you need to describe your decision.
Your training sessions: your answers in Training Grounds, including what you write in your own words, used to write the note at the end of the sessions that have one.
Your Thinking Journal: what you write in it, and the reflections you choose to keep there. No AI ever reads, analyses or summarises your journal.
Ratings: the optional 1 to 5 ratings of how clear you feel about a decision and how well a Snapshot reflects how you think. They are used only to measure whether DecisionGYM helps; they are never sent to the AI.
Your profile and the documents written for you
From your assessment we build a profile automatically: scores and patterns in how you think and decide. The app never shows you these scores. They shape the texts written for you, your Self-Assessment Report and your Decision Snapshots, and they have no legal or similarly significant effect on you.
Your Self-Assessment Report, your Decision Snapshots and your Training Notes are written by an AI model (see "Who processes your data"), from your answers. If what you wrote in your own words suggests you may be in crisis, the document opens with a line pointing to emergency services. That signal is kept only with the document and is never used for anything else.
Your birth details
Your birth details are used to calculate a chart from the moment and place of your birth, and the chart is used to personalise your Self-Assessment Report and your Decision Snapshots: the report gets one more part, an additional lens on your decision style, and each Decision Snapshot gets one more part, an additional lens on that decision. This layer draws on a symbolic, exploratory system, not a scientifically validated one. If we ever want to use your birth details or your chart for anything else, we will ask you first.
- If you know your time of birth, the chart is calculated by our provider, humandesignhub.app, and calculated again on our own servers, to check that the two match. Only the result of that check is kept, with no birth details and no link to you.
- If you do not know your time of birth, we calculate the chart only on our own servers, across the whole day of your birth. Your date and place of birth are kept in your account, with the time left empty, together with the result of that calculation. Only the place you type is sent to our provider, to find it on the map and its time zone.
In both cases we keep your birth details as you gave them (date, time if known, place, with its coordinates and time zone) and the full chart, so they never need to be asked for again.
During the test, birth details can be given only at the start of the assessment, or not at all.
Correcting a mistake. If you find a mistake in your birth details, write to us. Correcting it is free: we replace the details and calculate the chart again. During the test, your Self-Assessment Report is then written again once, at no cost to you. After the test, a new Self-Assessment Report written after a correction is a paid service unless your subscription includes it.
Withdrawing your consent. You can withdraw your consent at any time, free of charge, from Settings. We confirm by email, then permanently delete your birth details and the chart calculated from them. If your Self-Assessment Report was written with them, you choose, on the screen before you confirm, what happens to it: it stays complete, or it is deleted completely, together with the profile built for it. If you delete it, no new Self-Assessment Report can be made during the test, so you cannot take a decision for the rest of the test. If your Self-Assessment Report does not exist yet, or was written without your birth details, only the birth details are deleted.
Who processes your data
We use these providers, each under a contract that lets them use your data only to provide their service to us:
- Supabase stores the database and the files of the app (your account, your answers, your documents), in the European Union (Frankfurt).
- Vercel hosts the app. Its servers run in the United States.
- Anthropic provides the AI model that writes your Self-Assessment Report, your Decision Snapshots and your Training Notes. Your answers, including what you write in your own words, are sent to it each time one of these documents is written, together with what your chart shows about how you decide, if you gave your birth details. Its servers are in the United States.
- MailerSend sends the emails of your account, from the European Union. It keeps a record of each email sent (address, subject, delivery status) for 1 day.
- Sentry receives technical error reports, stored in the European Union. Error reports carry only technical identifiers and error codes, never your answers or anything you write. They are kept for 30 days.
- humandesignhub.app calculates the chart from your birth details when you know your time of birth, and finds your place of birth and its time zone. It receives your birth details only if you give them.
Transfers to the United States (Vercel, Anthropic) are covered by the European Commission's standard contractual clauses.
How we measure use of the app
We record events about how the app is used, such as a part of the assessment completed, a decision session started or a Snapshot opened. Among them, we record each time a question of the assessment is shown, with no question text and no answer, so we can see how long questions take and where people stop. Events never contain your answers or anything you write. They are stored in our own database; we use no analytics provider and no tracking cookies.
Events stay linked to your account while your account exists; we may remove the link earlier, after which only anonymous totals remain. When your account is deleted, the link is removed at once. The record that an account was created stays, with no link to you, so the totals of the test stay correct.
The test phase
When you create your account with an invitation code, we record the group the code belonged to, for example the community through which you were invited. We use it only to see, in totals, how the test goes in each group, and it is deleted with your account.
During the test, our team analyses the data from the test (how the app is used, what people answer, how well the texts work) to improve DecisionGYM.
To check the quality of the texts written by the AI, our team may read a few Self-Assessment Reports, Decision Snapshots and Training Notes, taken out with no name and no email address.
When the test ends, you can choose to stay. If you do not stay, your account and all your data are deleted after the test, on a date we email you beforehand. After that, only aggregate figures remain, with no personal data and no link to any person.
How long we keep your data
- Your account and everything in it: for as long as your account exists, and during the test, until the deletion date at the end of the test if you do not stay.
- Your birth details: until you withdraw your consent or delete your account.
- Usage events: linked to your account while it exists, then anonymous.
- Error reports: 30 days.
Deleting your account
You can delete your account at any time, from Settings. Before you confirm, you can download your data. We send a confirmation link to your email address; when you click it, your account is closed at once and you are signed out everywhere. Your data is then kept for 7 days: if you change your mind, write to us at hello@decisiongym.app within those 7 days and we restore your account. After the 7 days your data is permanently deleted, within one month of your request at the latest.
Your rights
You have the right to:
- access the data we hold about you, including the scores and the profile built from your answers, which the app does not show. Write to us at the address above;
- receive the data you gave us in a portable format: use "Download my data" in Settings;
- correct your data, free of charge: your email address can be changed in Settings; for anything else, including your birth details, write to us;
- delete your data: delete your account from Settings, or withdraw your consent for your birth details from Settings;
- withdraw your consent at any time, without affecting what was done before;
- object to or restrict some uses of your data, by writing to us;
- complain to a data protection authority, in particular in the country where you live. In the United Kingdom, this is the Information Commissioner's Office (ico.org.uk).
Cookies
We use only the cookies the app needs, to keep you signed in and to remember your settings. We use no tracking or advertising cookies. Our Cookie policy lists each cookie and what it does.
Languages and scripts
You can write your answers in any language and any alphabet. Your Self-Assessment Report, your Decision Snapshots and your Training Notes are written in the language of your account; what you write in another language is translated into it.
The downloadable PDF documents support the Latin, Cyrillic and Greek alphabets. Arabic, Hebrew, Chinese, Japanese and Korean scripts are not supported in the PDFs.
Who can use DecisionGYM
DecisionGYM is only for people aged 18 or over.
